How to Import Contacts into GetroConnect Using a CSV File
Uploading contacts via CSV is the fastest way to add or update large groups of contacts in GetroConnect. This article covers:
- How to import a CSV
- What the merge options mean
- How to turn a CV/resume PDF into a URL that can be imported via CSV
1. How to Import a CSV
Step 1 — Select CSV option when adding contacts
- Click Add Contact in the top navigation bar.
- Select From CSV.
Step 2 — Prepare Your CSV File
Your CSV should include a header row. The recommended fields are:
- LinkedIn URL (required)
- Tags
- Lists
- Resume URL
- Website
Formatting guidelines:
- Multiple Tags or Lists: Place multiple values in quotation marks and separate them with commas, for example:
"Tag 1, Tag 2, Tag 3" - LinkedIn profile URLs: Use the standard LinkedIn profile format, for example:
https://www.linkedin.com/in/username
Step 3 — Upload & Preview
- Upload your CSV file on the From CSV screen.
- Click Preview Contacts to see how your data will be interpreted.
Step 4 — Map Your Fields
In the field-mapping step:
- For each column in your CSV, select the appropriate GetroConnect field (LinkedIn, Email, Tags, Lists, Resume URL, etc.).
- For each mapped field, choose a Merge Method (explained in Section 2 below).
Step 5 — Run the Import
- Click Add Contacts to start the import.
- After processing, you will receive an email summarizing:
- The number of contacts that were successfully imported
- Any errors (for example, invalid LinkedIn URLs or incorrectly formatted Tags/Lists)
2. What the Merge Options Mean
When GetroConnect detects that a contact in your CSV already exists in your network, it uses the Merge Method you have selected for each field to decide how to handle the data.
Overwrite Existing Data
What it does:
- Replaces the existing value in GetroConnect with the value from your CSV for that field.
When to use it:
- When your CSV contains the most up-to-date or corrected information.
- When you want the CSV to become the new source of truth for that field.
Skip Field
What it does:
- Keeps the existing value in GetroConnect and ignores the CSV value for that field.
When to use it:
- When you do not want to overwrite curated or manually edited data.
- When you are only updating specific fields (for example, adding LinkedIn URLs but not changing Tags).
Do Not Import
What it does:
- Ignores this column entirely for all contacts during import.
When to use it:
- When your CSV contains columns that you do not want stored in GetroConnect.
- When you are testing an import and want to start with fewer fields.
Important Limitation for Tags & Lists
Currently, GetroConnect cannot append new Tags or Lists on top of existing ones for a contact.
- If you choose Overwrite Existing Data for Tags or Lists, the values in your CSV will replace what is already in GetroConnect.
- If you choose Skip Field for Tags or Lists, GetroConnect will keep the existing values and ignore the CSV values.
Best practice:
- If you want to add more Tags or Lists without losing existing ones, export your current contacts first, combine the existing Tags/Lists with your new ones in a CSV, and then re-import that combined file.
3. How to Turn a CV/Resume PDF Into a URL for CSV Import
To import résumés via CSV, the Resume URL column must contain a URL (link), not a local file. You will first need to use a PDF-to-URL converter to turn your résumé PDF into a shareable link.
You cannot upload a PDF file directly into the CSV. The CSV must contain a URL that points to the PDF.
Step 1 — Choose a PDF-to-URL Converter
Use an online service that:
- Allows you to upload a PDF file, and
- Generates a unique URL that opens or downloads that PDF.
Search for a “PDF to URL converter” and choose a reputable service that complies with your organization’s security and privacy policies.
Step 2 — Upload Your PDF
- Open the PDF-to-URL converter.
- Click the option such as Upload, Choose file, or similar.
- Select the résumé PDF from your computer.
- Wait for the converter to process the file.
Step 3 — Copy the Generated URL
- After processing, the converter will display a link or a button such as Copy link.
- Copy the URL exactly as provided.
This URL is what GetroConnect will use to access the résumé when you or your team view the contact.
Step 4 — Add the URL to Your CSV
- Open your CSV file.
- Locate or create the Resume URL column.
- Paste the copied URL into the Resume URL cell for the appropriate contact.
Example row:
| LinkedIn URL | Tags | Resume URL | |
|---|---|---|---|
| https://www.linkedin.com/in/janedoe | jane@example.com | "Product, Leadership" | https://example.com/resume/janedoe.pdf |
Step 5 — Import the CSV into GetroConnect
- Follow the steps in Section 1: How to import a CSV.
- During field mapping, map your Resume URL column to the Resume URL field.
- Choose the appropriate Merge Method for Resume URL (for example, Overwrite Existing Data if you are updating résumés).
Best Practices for CSV Imports
- Start with the Getro CSV template to avoid missing or mislabeled columns.
- Validate LinkedIn URLs and résumé URLs before importing to reduce errors.
- Use quotes for fields that contain multiple values (Tags and Lists) and separate values with commas.
- Export your contacts before a large update so you always have a backup of your existing data.
